With Beyond Software’s mobile application employees can quickly record their time, expenses and to-do list while on the go. The mobile app enables employees to easily record their time and expenses down to the task level on projects. This improves cash flow and billing cycle times. Work documents and receipts may be attached to expense reports for auditing and it eliminates the need for paper files.
Time Entry: allows employees to record their time down to the task level on projects, giving you visibility into their work. Employees can also enter detailed notes on the work completed, with the option of displaying those notes in invoicing. The cost of labor can be based on an employee rate or a rate at the labor class level. Once entered, the time can be immediately routed for review and approval. This enables you to shorten your billing time and catch errors early.
Expense: allows employees to enter expenses directly to a project, and gives you the option to reimburse the employees for these expenses. Expenses can optionally be marked up (either as a unit rate or a percentage) for billing purposes. Once entered, the expense report can be immediately routed for review and approval, keeping the invoicing process moving and leading to better cash management. You can even attach receipts to the report making expense reporting paperless. Various expense types can be configured to simplify the data entry and for reporting and grouping after the data has been entered.
Actions: allows employees to keep a mobile “To Do” list with them at all times. Actions provides you with a single place to track the “next actions” you need to take for projects or teams you are managing and for your own individual or private actions. Items included in your list can optionally be associated with Beyond Software projects and tasks, categories and team meetings. You can also assign action items to yourself or other team members. Actions integrates with email, allowing you to send an email to update your “To Do” list.
With Beyond Software’s time, expense and action mobile application:
• Capture and compare actual time to budgets to actively manage your projects to profitability

• See daily and weekly time totals
• Set up timesheet approvals: allows management review of time before it is charged to a project to eliminate errors at the source
• Employee time and expense report entry can be supported down to the task level of a project
• Time entries can be approved by day, week or project; whichever best fits how the project manager is monitoring the project
• Expense entries can be approved by expense report or by project to prevent incorrect expenses from being charged to a project
• Time and expense entries can be reversed and re-entered easily if an entry error is identified after it has been approved
• You have the option to eliminate paper receipts by attaching pictures of receipts to the expense entry which serve as an audit trail
• Using BI Consoles in Beyond Software, management can schedule resources, manage utilization and realization analysis by employee and project and see who is working on which projects
